Hire List
Open Business Managment from the side menu bar, then Hires > Hire List.
The Hire List shows every hire on the system, whatever stage it has reached. It is the place to look when you need to find a particular hire rather than work through a queue.
Hire or loan?
Anything in stock can go out either way. If the person using it is charged, set it up as a hire. If they are using it free of charge for a period, it is a loan. The paperwork and the tracking are the same; only the billing differs.
Who is being charged
A hire is charged in one of three ways, and it matters which you pick, because it decides who gets the invoice:
| Arrangement | Who pays |
|---|---|
| Hire to a pupil | The payer, through the usual payer billing |
| Hire to an organisation | The organisation, which then allocates the item to its own people |
| Hire to a pupil, paid by an organisation | The organisation, with the pupil named on the charge |
The second is for when a school takes a batch of instruments and hands them out to pupils you do not hold records for.
The stages of a hire
A hire moves through a short pipeline, and each stage has its own queue so nothing sits forgotten:
- Agreed. The hire exists, but no particular instrument is attached to it yet. It appears in Pupil Hires Requiring Assignment or Org's Hires Requiring Assignment.
- Assigned. A specific resource is attached, but it is still with you. It appears in Pupil Hires Awaiting Coll/Del or Org's Hires Awaiting Coll/Del.
- Provided. The item has reached the hirer. The Date Provided is set and the hire is live.
- Returned. The item comes back and Date Returned is set, which closes the hire and stops the charging.
Billing runs from the date the agreement starts, not the date the item is handed over, so a hire left unassigned may still be generating charges.
