Resources
Two separate lists, which answer two different questions about instruments and equipment at your organisation.
Resources
Where to find it: Organisation Account > Resources
The instruments and equipment held at your organisation.
| Column | |
|---|---|
| Ref ID | The item's own reference |
| Group and Type | What kind of thing it is |
| Make and Model | What it is |
| Location | Where it is kept |
If nothing is recorded you are told there are no resources at the school.
Location is the column that earns its keep at stock-take time. It is maintained by the people who hold the instruments, so if it is vague or wrong, the person to tell is the teacher or the office rather than something to fix here.
Assigned Resources
Where to find it: Organisation Account > Assigned Resources
The instruments assigned out to your organisation — hired to it rather than simply stored there.
| Column | |
|---|---|
| Ref ID | The item's reference |
| Group and Type | What kind of thing it is |
| Location | Where it is |
| Assigned Date | When it came to you |
The difference matters when something goes missing
Resources is what is at your site. Assigned Resources is what your organisation has taken responsibility for. An item on the assigned list is one you will be asked about — and, depending on your agreement, charged for — so it is the list to reconcile at the end of a year, not the other one.
An Assigned Date with no corresponding instrument in the cupboard is the thing to chase early. Instruments are easiest to find in the term they went missing.
Add Stock
Add Stock, under Account, adds items into your organisation's stock. It is there for organisations that hold their own instruments and need the service's records to match what is on site.
Neither of the two lists above can be edited directly. They reflect what the service has recorded, so a correction is a message to the office — most usefully with the Ref ID, which is the only unambiguous way to name an instrument.
