Lessons and pupils

What is happening at your organisation: when the lessons are, who is in them, and the one or two things you can change.

Schedules, Schedule Summary and Timetables

Where to find them: Organisation Account > Schedules, Schedule Summary, Timetables

All three are read-only views of the teaching at your site, and all three appear only where your organisation has lessons.

  • Schedules is the diary — your organisation's week, as a calendar.
  • Schedule Summary is the same week as a list, which is easier to scan and easier to print for a cover folder or a reception desk.
  • Timetables is a block's own timetable, for a slot shared by several pupils taking it in turn.

A lesson's pupils

Opening a lesson gives you its outcome — whether it was delivered — together with the reason the teacher gave, where they gave one. That is the same reason you see on Confirm Lessons, and it is the quickest answer to "why did this lesson not happen".

Two tabs:

Pupil Details — Name, Duration, Subject, Group, Type and Finish Date, with Add Pupils to put more pupils into the lesson.

Termly Register — the term's attendance for the activity, a session at a time.

You can read the register, not mark it

The termly register is shown to your organisation so you can see attendance. Marking it is the teacher's — they taught the lesson, so the register is their record of it. If a mark looks wrong, raise it with the teacher or the office rather than looking for a way to change it here.

Two things you can do

Finish a pupil, where they have left your organisation or stopped the lessons. This ends their enrolment from a date — it does not erase the lessons they attended, which have already been taught and billed.

Communication information gives you a link to send to a parent, with an expiry date, that connects them to that pupil on the Portal. This is the answer to the most common request a school office gets: a parent says they cannot see their child's lessons. Copy the link, send it to them, and they are connected — no form for the service to process, and no waiting.

The connection link expires

It is deliberately short-lived, so send it when the parent is ready to use it rather than generating a batch in advance. If it lapses, make another.
