Schools and organisations

A school, academy trust, or any other organisation that works with the service gets its own view of the Portal. It is not a separate login: you sign in as yourself, then act for the organisation, and the Portal changes around you — its diary, its pupils, its invoices, its agreements.

Getting into organisation mode

If you are associated with an organisation, the user widget at the top of the page offers Act for organisation for each one you are linked to. Choosing it takes you to that organisation's dashboard, and everything you then do is on its behalf rather than your own.

Your own dashboard also lists your organisations in an Associations panel, which is the other way in.

To come back to being yourself, use Switch service or go to your own dashboard — reaching your personal dashboard clears organisation mode.

Which organisation you are acting for is always on screen

Everything on these pages is about one organisation at a time. If figures look wrong, the first thing to check is which one you are in, especially if you are associated with several schools in a trust.

What is on the menu

Not every organisation sees every item. The Portal works out what to show from what the organisation actually has, so a missing item usually means there is nothing of that kind rather than a permission problem.

What you can and cannot do

Most of organisation mode is read-only: you are looking at what the service is doing for you. The places you can act are worth knowing, because they are the ones with consequences:

  • SLAs — signing one commits the organisation to the agreement and its cost.
  • Confirm Lessons — answering confirmations tells the service its diary is right.
  • Applications and ordering — applying for pupils, and ordering from the catalogue through a basket.
  • Associations — who at the organisation can see and do all this.

Some things are deliberately not yours to change

A lesson's register, its outcome and its pupils' marks belong to the teacher, not the organisation. You can see a termly register and finish a pupil who has left, but you cannot mark attendance — that stays with the person who taught the lesson.
