People and details
Who at your organisation can use the Portal on its behalf, and the organisation's own contact details.
Associations
Where to find it: Account > Associations
An association links a person to your organisation. It is what puts Act for organisation on their user widget, and it carries what they are allowed to do once they are in — sign agreements, confirm lessons, see invoices.
Each person is listed with their role. One is marked as the primary contact.
| Review | Open a person to change what they can do |
| Remove | Take their access away |
| Add Association | Invite somebody new |
Inviting somebody asks for their first name, last name, email and job role. They are emailed and set their own sign-in up, so you never handle anybody's password.
This is the page that controls who can commit the organisation
Signing an SLA binds the organisation to a cost, and confirming lessons decides what it is invoiced for. Both of those come from here. When somebody leaves, the useful thing is to Remove them the same week — an association nobody has tidied up is the most likely way for the organisation to be committed by somebody who no longer works there.
It is also the page to visit when the SLA page says there is no sign personnel, or that a signatory has no email address held. Both are fixed here.
Organisation Details
Where to find it: Account > Organisation Details
The organisation's own record: Name, Email, Landline, Address, Town, County and Post Code, then Update.
Only the primary contact can change these. Everybody else sees the same fields read-only, and the page says why rather than just refusing to save. If the details are wrong and you are not the primary contact, tell whoever is — or ask the office to change who that is.
Why the email here matters more than it looks
This is where the service writes to the organisation rather than to an individual. An address that goes to somebody who left is how invoices and agreement notifications quietly stop arriving.
