Invoices and purchases

What the service has charged your organisation, and what it has sold you. Both are read-only — they are the record, not somewhere to query a charge, which is a conversation with the office.

Invoices

Where to find it: Organisation Account > Invoices

This appears only where your organisation is billed directly and you are somebody who may see its invoices. If a colleague can see invoices and you cannot, that is set against each person under Associations.

Choose the academic year. If nothing was invoiced in it you are told no invoices for period.

Column
ReferenceThe invoice number
DateWhen it was raised
DescriptionWhat it is for
PupilThe pupil, where the invoice is for one
Order NoYour own order or PO number, where one was given
ValueThe total
OutstandingWhat is still to pay
Next InstalmentWhen the next payment is due, on an instalment plan

Print gives you the invoice itself, which is the copy to pass to your finance team.

Outstanding against Value is the quick check

Value is what was charged; Outstanding is what is left. An invoice you believe you have paid but which still shows an outstanding amount is worth raising — most often the payment has been made but not yet matched, and the office can see that from their side.

Putting your PO number on the agreement when you sign it is what makes the Order No column useful later. See SLAs.

Purchases

Where to find it: Organisation Account > Purchases

Purchases are things bought rather than services delivered — instruments, books, equipment. Unlike invoices this one is searched by date range: give a From and a To, then Search. If nothing falls in the range you are told so.

Column
DateWhen it was purchased
Service Type and Resource GroupWhat kind of thing
Activity RateThe rate it was charged at
QuantityHow many
Unit ChargeThe price of one
ValueThe line total

Because it works by date rather than academic year, this is the page to use when your finance team asks what was spent in a particular month or quarter.
