The waiting list

Everybody who has asked for something and not yet got it: applications from parents and schools, pupils progression could not place, and people put back on after their lessons stopped.

Where it is

Two views of the same thing:

  • Business Management → Tuition — every waiting list across the service, in one place. Use this to answer "who is waiting for a trumpet teacher anywhere".
  • A school or centre → Schedule → Applications — only the people waiting for that venue, beside the plans they could go on. Use this when you are filling lessons.

What the statuses mean

Waiting ListAsked for a place, and waiting for one
Waiting ScheduleAccepted in principle, but there is no schedule yet to put them on
ConsideringSomebody has looked at this one and is thinking about it
Teacher AcceptedThe teacher has taken them, but they have not started

A row that came through progression rather than a fresh application shows as Progressed and Waiting.

The coloured dot

Every activity row carries a status dot, and on a waiting list it tells you why somebody is there without opening anything:

AmberWants attention — a new application waiting, or something needing validation
PurpleCame from progression, or has been accepted by the teacher
BlueA place has been offered, and you are waiting on the family
TealBeing considered
GreenLive and running
GreyFinished or cancelled

The purple ones are worth a second look at the start of a year: they are pupils who were being taught last year and whom progression could not place — usually because their new school has no matching activity. See Progression for what to do about that.

Placing somebody in a lesson

From the school or centre's Schedule, with its Applications panel open:

  1. Drag the application onto the plan you want in the list — or select the application, pick the plan, and use the button.
  2. Choose when they start. Year start, Term start, Today and Next term are there as one click each, or type a date.
  3. Choose the rate, or leave it on the one the application already carries.
  4. Xperios checks it first and tells you exactly what will happen — will be placed from 14 Oct, with 22 lessons added — along with anything that would stop it. Only then do you commit.

Where the service type uses the offer process you offer the place instead, and the family gets the offer email; the pupil arrives on the register once they accept. Somebody who was waiting for a schedule is placed from their own start date rather than a date you choose.

The family is always told

The email that goes out when you place somebody in a lesson cannot be switched off. It is part of how the system works: if you have put a child into lessons, the people paying are told.

The optional emails — withdrawals and transfers — are on the service type, in its Email section, and can be turned off there.

Marking one as Considering

Consider Application on a waiting or in-validation row marks it as being thought about, so the next person down the list does not start again from scratch. Return to Waiting List puts it back, and also brings back a pupil the teacher had accepted.

Taking somebody off

Cancel Application, on a row that is still waiting, in validation or declined. That is the right way to remove a waiting list item — it keeps the history rather than leaving a half-finished record.

Two things that look wrong and are not

The Applied date is in the future. Where a pupil was put back on the waiting list as their lessons were stopped — the Create Waiting List Item option on a withdrawal — the date you see is the proposed re-start date they asked about, not the date they applied. Nothing is wrong with the record.

Next year's starters are not in this year. They should not be. Put somebody into next year's schedule, once it exists, rather than into a year they will never be taught in.
