Progression
Carrying pupils into the next academic year — their lessons, and the instrument hire and group memberships that go with them.
It is a background run, not a button
Progression happens by itself, every eight hours, for everything due to progress. There is no button that pushes one pupil across.
That is the first thing to know, because it explains the most common surprise: you fix something on a pupil's record and nothing appears to happen. It will, at the next run — and if a run has already passed since your change, look at the conditions below rather than waiting.
Hire and group memberships have their own runs, on the same eight-hourly cycle. A hire linked to tuition goes across with it, along with the resource assigned.
What has to be true
A pupil progresses automatically only when all of this holds:
| The service type progresses activities | If its Progress Activities is off, nothing happens at all |
| They have an active activity this year | A withdrawn one is not picked up until it is restored |
| No discount needs re-checking | Where the service type re-applies discounts and the pupil has a remission or subsidy, the payer is emailed to confirm instead |
| School-based: they are staying, or you know where they are going | Either their school year is still inside the school's range, or their new school is recorded |
The silent case
A pupil who has outgrown their school's year range — Year 6 at a primary, say — and whose new school you have not recorded does not progress. And unless the service type has Progress When No School switched on, nobody is emailed either: no pupil, no error, nothing on a list.
If pupils are quietly missing from the new year, this is the first thing to check.
When the payer is asked instead
Where it cannot simply carry on — a change of school, or a discount that needs re-checking — Xperios emails the payer to ask whether they want to continue. Anyone who says yes is progressed; anyone who wants something different goes through a new application.
That works where you hold an email address. Where you do not — school-billed pupils, typically — use the route below instead.
Moving a pupil to a new school
Record the new school on the pupil's Details tab. Progression then moves them, provided it can find a matching activity at the new school. If there is no matching activity there, nothing can be matched and the pupil stays put.
Do not try to transfer them instead: a transfer will not do it at a year boundary. See Transfers.
Reinstating somebody who was not progressed
If a pupil was withdrawn or un-progressed and now wants to carry on:
- Open the pupil's record and find last year's activity, which will show as withdrawn.
- Select Restore Activity. That is the whole job — it undoes the withdrawal.
- Check the Detail tab shows the right school, with the correct from date.
The next progression run then carries them forward. There is nothing else to press, and nobody needs to re-register.
The year has to be open
Progressing from inside Xperios, and a parent confirming on the Portal, both need the receiving year to have Open Progression switched on — see Academic Year. Until it is, the action is refused.
