Data feeds for Excel and Power BI ​

Any query can be connected to Excel or Power BI as a data feed. The spreadsheet or report then refreshes straight from Xperios whenever you like, with no exporting and re-importing.

You need two things: the query's Data Feed Link, and your own data feed token.

The token works as a password — Excel or Power BI asks for it once and remembers it. The link itself contains no password, so you can safely send it to a colleague; they use their own token with it.

Before you start ​

Data feeds need the Data Feeds (Excel/Power BI) right. Your Xperios administrator grants it to a user group, in the group's rights under Actions. Built-in Administrators have it already.

If you do not have it, the Data feed tokens screen tells you so.

1. Create your data feed token ​

  1. Click your initials in the top-right corner of Fusion and choose Data feed tokens…
  2. Under Create a token, keep the suggested name or type your own — for example "Finance Power BI" — then click Create.
  3. Your token appears in a box at the top, starting xdf_. Click Copy.

The token is shown only once

Xperios does not keep a readable copy, so it cannot be shown again or looked up by support. Paste it into Excel or Power BI straight away. If you lose it, create a new one and revoke the old one.

A token lasts 12 months, and you can have up to 10 active at once — one per workbook or report, say, so you can revoke one without disturbing the others.

  1. Open the query, choose its parameters and click Run.
  2. On the results toolbar, click Data Feed Link.
  3. Click Copy next to the link.

Relative choices stay relative

The link carries the parameters you ran the query with. If you chose something like This Year or This Week, the link keeps it as "this year" rather than today's value — so the feed moves on by itself. Next September it shows the new academic year without you changing anything.

3. Connect Excel ​

  1. Go to Data › Get Data › From Other Sources › From OData Feed.
  2. Paste the Data Feed Link and click OK.
  3. When asked for credentials, choose Basic. Enter your email address as the user name and your data feed token as the password, then click Connect.
  4. Select Rows and click Load.

To update it later, use Data › Refresh All. Excel remembers your token, so you are not asked again.

The results carry an extra column, XperiosRowNo, numbering the rows in the order the query returned them. Hide or delete it in Excel if you do not want it.

4. Connect Power BI ​

  1. In Power BI Desktop, choose Get data › OData feed and paste the Data Feed Link.
  2. Choose Basic, with your email address as the user name and your token as the password.
  3. Select Rows and load it.

For scheduled refresh in the Power BI service, publish the report, then enter the same Basic credentials in the dataset's data source settings.

Plain CSV instead ​

Some tools only read a web page or a file — Excel's From Web, or a script. In the Data Feed Link dialog, open Plain CSV instead and copy that link. It returns the same rows as CSV and uses the same Basic sign-in.

You can edit a link by hand. Each parameter is written as Name=value, joined by &:

The easiest way to get a correct link is still to run the query in Fusion with the choices you want and click Data Feed Link.

Managing your tokens ​

Data feed tokens… lists your tokens with the first few characters, when each was created, when it expires, and when it was last used.

Click the ✕ next to a token to revoke it. Anything using it stops refreshing straight away.

When a token expires or is revoked, create a new one and update the password saved in Excel or Power BI — in Excel, Data › Get Data › Data Source Settings › Edit Permissions › Credentials: Edit.

Expired and revoked tokens are listed underneath, for reference.

If something goes wrong ​

Good to know ​

  • A data feed runs as you, returning the same data you would see running the query in Fusion. If your access changes, your feeds follow.
  • Treat your token like a password. Do not put it in the link or share it — give colleagues the link and let them use their own token.
  • Every data feed request is recorded: who made it, which query, and which parameters.
  • A feed returns up to 50,000 rows, the same limit as Export to Excel.
  • Links created in the old desktop client do not work here. Create a new link from Fusion.
