Teachers


Teachers are contacts that help your pupils to acquire knowledge of their chosen subject or instrument. All Teacher contacts are created within Ensemble.


How to add a new Teacher Contact record:


       Go to Contacts Menu, add a new record and fill in their contact details:



Then press the ‘Make this Contact a Teacher’ button at the bottom of the screen:



This will create a Teacher tab at the top of the screen:



Switch to this tab and fill in the following on the sub-tab, Detail:



Date Started – check this box and fill in the date that the Teacher started working with your Service.


Date Finished – if this Teacher has finished working with your Service, check this box and fill in the date that they finished working with you on.


Pay Reference – fill in the Pay Reference number that your Service has given this Teacher.


Contract Basis – a Contract Basis reflects the type of contract that this Teacher has with your Service. There are three types in Ensemble:

  • Claim –
  • Sub Contract -
  • Contract –


Qualified Teacher – Check this box if the Teacher has a PGCE or equivalent qualifications and is a recognised Teacher.


Df EENo – This is the Unique Identifying Number for the School that this Teacher works at set by the Department of Education.


Travel Base – If the Teacher will be claiming expenses, the Travel Base is used as their starting point from which their mileage is calculated from.


Std Pay Code this is the Standard Pay Code that you use to pay a particular Teacher.


Back Pay Code – this is the Pay Code that is applied when you need to back pay a Teacher.


Sick Pay Code – this is the Pay Code that is applied when a Teacher is off work due to illness or sickness.


Expenses Code – this is the Pay Code that is applied when a Teacher’s expenses are being covered by your Service.


Area – this is the Area that this Teacher works in. Areas are created in Ensemble under Settings à Activity Section à Area


Faculty – This is the are of business that Teacher works in.

  

Teacher Contract – check this box and select the correct Contract that applies to this Teacher.


Line Manager – if this Teacher has a Line Manager, you can check this box and select the correct contact.


Bio Text – A Bio Text is useful for when you populate a catalogue, if you have an event in the catalogue that is linked to this Teacher, it will pull through their bio for prospective customers to read.

 

Vision Moderator – If you use the Vision module, you can check this box to set a Moderator for a Teacher. This Moderator will be their online partner until they are unlinked.


Vision Administrator – If you use the Vision module, you can check this box to set an Administrator for a Teacher.


DBS Check – Each Teacher is required to have a DBS Check if working with minors. Check this box and enter the date that the DBS is valid from.


DBS Check Submit – Enter the date that the DBS was submitted for clearing.


DBS Check Ref – Enter the reference number of the DBS.


DBS Form Sent To Contact Date – Enter the date the administrator asks for the information from the Teacher.


DBS Form Returned From Contact Date – Enter the date the administrator receives the information from the Teacher.


DBS Check Notes – These are free-hand notes that can be entered by the administrator when sorting the Teacher's DBS.


BOPA Local Authority – Enter the authority for the license where they will be performing.


NI Number – enter the Teacher’s National Insurance Number here.


Job Role – if required, check the box and enter the Teacher’s Job Role here, e.g. Senior Brass Teacher.


 


Next, switch to the Sub-tab Licenses and choose the Licenses that the Teacher can access. Licenses are the products of Ensemble that the Teacher has access to. You need to have an individual Licenses for all Teachers who use that Ensemble Module. For a Teacher contact, you can only choose to give them access to Vision and Appraise if they are used in your Service.



Then save the record, it won’t appear in the list on the left when you save it, as most records do, but will be searchable and appear once you use the search bar typing in the contacts name or via the filters:



You have now created a Teacher label for your Contact.
