Consent Questions are useful for asking pupils, debtors, parents/guardians and general contacts what they are happy for you to use their information for. These questions are answered by parents/pupils/debtors/general contacts in their Privacy Settings via their Schooble account online or when they first apply for a service you offer.
Consent Questions are not used on an individual basis, i.e. for a particular event, audition, lesson or exam, but will appear on an application if it is a new applicant or if the Consent Questions have been updated.
If Privacy Settings need to be updated, account holders will see a red cross by the panel that needs updating:
How to add Consent Questions:
Go to Settings à Consent Questions (under CRM Section) and add a new record:
Each section needs to be filled in. In this example, we are asking if it okay to use photos taken at events in the online gallery:
Consent Questions – this box asks for the question that you want to ask the User, the question does not appear online. In this example, this is: ‘Are you happy for us to use photos taken during our events and use them in our online gallery?’
Order by – by typing in a position number, you can order how the questions appear online. For this to work, you need to order all questions asked.
Required Contacts – you will need to check the box next to who is required to answer this Consent Question. Consent Questions can be answered by pupils/parents/guardians/debtors and general contacts.
Consent Question Positive – this box asks for a ‘positive’ statement in response to the question being asked. For this example; ‘Yes, I consent to having my photo taken during events and used in the online gallery.’
Consent Question Negative – this box asks for a ‘negative’ statement in response to the question being asked. For this example; ‘No, I do not consent to having my photo taken during events to be used in the online gallery.’
Consent Question Additional Text – this box is useful in case you have any further information you need to impart to the applicant that is not part of the question itself. For this example, this could be: ‘Images taken at our events will only be used in conjunction with our online gallery showing our range of events. They will not be used in marketing materials unless we have requested specific approval from you individually.’
This full example would appear like this in Ensemble:
Then save the record where it will appear in the list on the left-hand side of the screen:
This question will then appear in the Parent/Guardian and Pupil’s Privacy Settings online in this format:
